“MORE SUSTAINABLE, FASTER AND MORE PROFESSIONAL,” SAYS FIRE SAFETY APP USER

“Our work has become much more sustainable as we stopped wasting an incredible amount of paper. The back-office workload has dropped by 50% and will continue to decrease.”

Wanted:

Flexible, no-frills software

“Before iCL caught our attention, we had already tested a fire safety software solution. It was too complex and inflexible to suit our needs. We were looking for a functional, no-frills solution that isn’t too complex. As we oversee many small properties, we need a solution that’s easy to manage. So, in the meantime, we continued to conduct fire safety inspections manually, on paper, even though that entailed a high degree of administrative effort,” says Managing Director Alexander Michalitz about the time before switching to Opti-Q’s fire safety app.

Mr Michalitz and his team of two fire safety officers conduct inspections in Vienna and Lower Austria. Currently, his company oversees some 100 properties in the residential, office and industrial sectors.

Found:

Customisable and standardised

What are the benefits of iCL? Michalitz highlights the fact that the fire safety app can be adapted to suit his needs. “When it comes to fire safety, we need more than just a standard solution. We oversee residential complexes, industrial firms and offices. No standard solution can cover all of those. As Opti-Q’s fire safety app is a standard software solution that can be customised, it caught my interest right away.”

Given past experiences, Mr Michalitz was worried about the implementation process. One question in particular concerned him: “Will we be able to get the solution up and running without interrupting day-to-day business?”

Implementation:

A crucial step towards professionalisation

“As it turned out, there was much less effort involved in implementing the fire safety app than we had expected. The Opti-Q team provided us with highly professional support and has remained available to answer any questions we have anytime. They quickly alleviated our initial concerns,” Michalitz says cheerfully. He explains the steps they took to make it all happen:

“In December 2021 we entered and incorporated existing properties and assets into the system while keeping our paperwork up to date. By early 2022, we were working exclusively with the intelligent checklist. Every employee now uses the same tool, and our processes are highly standardised. This has worked very well and is an important step towards professionalising our operations.”

How iCL is used:

Fire safety inspections

iCL is now used for all the fire safety inspections that Mr Michalitz and his team conduct. Residential buildings are equipped with a particularly large number of technical fire safety systems requiring a lot of internal checks. Fire safety facilities in the industrial sector are set up much like those in residential buildings. One of Michalitz’s customers in the industrial sector is a photovoltaic company.

When we ask Mr Michalitz what he’s most excited about, he says, “I think the biggest benefit is that every employee can work with standardised data and complete inspections much more quickly.”

What has changed:

More sustainable work processes and 50% less administrative time

“Our work has gotten much more sustainable as we stopped wasting an incredible amount of paper. The back-office workload has dropped by 50% and is certain to decrease further as we continue to use the app. Our target is to reduce the administrative workload to 20% versus manual checklists.”

Benefit:

Who benefits the most?

“Everyone,” says this fire safety expert. “Me in the back office; my employees, who all enjoy working with the app; and, of course, our customers, who get a perfect, standardised report after each inspection.”

Could iCL be used in other parts of his company? “For maintenance work,” he says, giving us a glimpse into the future. But that’s another story.
